Court Waitlist

In order to help our members to book court time, we are enabling new feature in our Court Reserve booking system called Court Waitlist. Here is how it works:

  • When courts are booked for desired time slot, there will be a Waitlist button on the side of the calendar scheduler and will allow you to join the waitlist

  • Pressing any of the two buttons in desired one hour time slot will put you on the waitlist. Following screen needs to be filled up so system understands for whom potential booking is, type of play (singles/doubles) and other usual info that you do enter while regularly booking the court
  • If one of the courts gets freed up, system will send an automated email that court is available
  • It is up to the member to login to the system and confirm reservation. There is no guarantee that reservation is kept for anybody on the waiting list. Member still needs to go through the reservation process as what you do for regular booking
  • Booking rules are still followed to put yourself on the waiting list
  • Waiting list is disabled 12 hours before court time and opens up to all the members

Cancellation Policy

During this season, there were several Club members that had unusual number of cancellations last minute. Most of those cancellations were within Prime Time window. That prevented other members to get hold of the court time. In order to address this issue, we are introducing the following:

 

  • Cancellation of the court time 3 hours ahead of booked time is still acceptable – no penalty points for the member collected
  • Any cancellation less than 3 hours before court time will increase your penalty points by one
  • After 3 penalty points collected, your membership will be suspended and you will not be able to book courts. In that case, you would need to contact us, explain what is going on and admin will be able to reinstate your membership
  • For any cancellation, it is a must to enter a meaningful reason for cancellation

Notes:

  1. we are setting up relatively low number of penalty points (3) since we have passed mid point for the season. This number will be revised for the following season.
  2. If you already have booking in the system and would like to change it (player’s names, time, court, …), your current booking can be edited. There is no need to cancel current booking and do a new one. Doing that will increase your penalty points even though you could have avoided that just by editing your current booking. Please keep that in mind

 

We all understand that some unexpected matter happens in life (urgent issues, accidents, weather changes, plan changes) but we do encourage all our members to take court booking seriously and, if court is booked, make every effort to use court time and make your tennis game part of the future planning in your busy calendar. We appreciate your cooperation in this matter to provide more equal opportunity for all members to book.
