Check-in Kiosk Introduction

posted in: News

In order to track our court usage (actual rather than booked), we are introducing a self-check-in Kiosk. It is a device that is installed at the entrance of our Club house (picture below). It has a small information screen, a bar code reader (on the right) and a fob reader (at the bottom).  The barcode reader will scan the membership number associated with our club, while the fob reader will control access to the Clubhouse during times when our tennis Pro or club Execs are not around, and Club house is closed.

How does it work?

Attendance tracking – As a Club member, you are assigned a unique membership number. This number is used to track the attendance for your court booking as described below. Up to two hours prior to your court booking time, the attendance system will locate your reservation and register your arrival at the club for your booked time slot. After successful scan, if your reservation is found, detailed information about your booking (name, time, court number) will be displayed on the screen (example below).

How to scan bar code?

Using Court Reserve app – Upon opening your app, you will see a small bar code icon in the top right corner.  Tap this icon to open a new screen on your mobile device displaying the barcode representing your membership number. If you have more than one family member associated with your membership, tapping the barcode icon will allow you to select the appropriate member of your family so the correct bar code is displayed. Once the barcode is displayed on your mobile screen, bring it close to the reader for proper scanning.

Bar code without app – If you are not currently using the CR mobile app (we strongly encourage you to use the app), we can generate bar code for you and your family or send you instructions how to convert your membership number to the barcode. Please note that membership numbers are only visible to CR system administrators. After generation of the barcode image, you can save the image on your mobile device or print a hard copy to use during self-check-in process. Please email us and we will be glad to help. We do strongly recommend use of the CR application.

Note: please arrive few minutes before your court time in order to scan your bar code. System will not detect your check-in if you scan your code after your court time.

Access to the Club house – If you possess a fob from previous year, you should be all set. If for any reason, your fob does not open the Club house right side door, please send us your fob number and we will enable access for you. For those that do not have a fob, please arrange for one by sending email to us. Since we do not have court monitor or personnel on the site all the time, controlled access to our Clubhouse is necessary, along with the administration of distributed fobs.

In May, we will start to test the self-check-in feature to ensure its reliability. Access to the Club house via fob is already enabled. We encourage you to try it out next time when you come to the courts during the month of May. If all goes smoothly, we will implement self-check-in starting in June for the remainder of the 2024 outdoor season.  After arriving at the courts for your booked session, please proceed to the Clubhouse and scan your barcode.  We appreciate your support and understanding. If you have any questions/suggestions or if you experience any issues with the newly installed Kiosk, please do not hesitate to contact us.
